
When customers compare two businesses on Google Maps, they look at the star rating, the number of reviews and how recent they are. Reviews also contribute to your prominence, one of the three main factors Google uses for local ranking. The good news: most happy customers are willing to leave a review. They just need to be asked at the right time, in the right way.
Step 1: Get your Google review link
Open your Google Business Profile, find the option to “Ask for reviews” or “Share review form”, and copy the short link. This link takes customers straight to the review box, which removes most of the friction.
Step 2: Ask at the right moment
The best time to ask is right after a good experience: when a patient thanks you, a customer collects a finished order or a client says they are happy with the work. A simple, personal request works better than a generic message sent weeks later.
Step 3: Make it easy everywhere
- WhatsApp: send a short thank-you message with your review link after each sale or visit
- QR code: print a review QR code at the counter, reception or on the bill
- Visiting cards and invoices: add a short line asking for feedback on Google
- Email signatures: include the review link for service businesses
Sample WhatsApp message: “Thank you for visiting us today! If you were happy with our service, could you share a quick review on Google? It really helps our small business. [your review link]”
Step 4: Reply to every review
Thank customers by name for positive reviews and mention what they appreciated. For negative reviews, stay calm, apologise for the experience, avoid arguing in public and offer to resolve the issue by phone or WhatsApp. Future customers read your replies as carefully as the reviews.
What not to do
- Do not buy reviews or use review-exchange groups
- Do not offer discounts or gifts in exchange for reviews
- Do not ask staff, friends or family to post fake reviews
- Do not post reviews from your own office or devices
- Do not ask only happy customers through a filtering system that hides others from the review link
These practices break Google’s policies. Fake reviews can be removed in bulk, and in serious cases the profile itself can be restricted or suspended.
Make reviews a habit
The businesses with the strongest reviews are not the ones that ran one big campaign. They are the ones that asked every happy customer, every week, for years. Assign one person to send review requests and reply to reviews, and check your profile at least once a week.
